1. Who we are and what this Policy covers

Biohazard VFX LLC, doing business as Biohazard VFX (“Biohazard VFX,” “we,” “us,” or “our”), operates biohazardvfx.com (the “Website”). We are responsible for deciding how personal information covered by this Policy is used and, where applicable, act as its data controller.

This Policy describes how we collect, use, disclose, and retain personal information when you visit the Website, contact us, discuss a potential project, or send a career or freelance inquiry. “Personal information” means information that identifies you or can reasonably be linked to you, as defined by applicable law.

Client production assets that we process solely on a client’s instructions are governed by the relevant client relationship, applicable data-processing terms, and law. If your request concerns that information, we will help identify the appropriate client contact and assist as required. This distinction does not remove our own legal obligations.

2. Information we collect

Information you provide

The project inquiry form requests your name, email address, company, and message. We also receive the information you choose to include in correspondence, such as project descriptions, schedules, budgets, links, or attachments. We use your email address to send an inquiry confirmation and communicate about your request.

For career or freelance inquiries, we receive the materials you choose to send, which may include your reel, résumé, professional experience, preferred role, and availability. We may review the professional pages or portfolio materials you link to for that purpose.

You do not need an account to browse the Website. Providing information through the inquiry form is voluntary, although we may be unable to respond or assess a request without sufficient contact and project details.

Please provide only information relevant to your request. Do not use the general inquiry form to send passwords, payment-card details, government identification numbers, health information, or confidential production assets that require an agreed secure delivery method.

Technical information

When your browser connects to the Website, our hosting and delivery providers, including Cloudflare, receive technical request information needed to deliver and protect it. Depending on the request, this can include an IP address, browser and operating-system information, the requested page or resource, a referring page, and the time of access. Operational records may also include errors, security events, and form-delivery information.

The Website does not intentionally use analytics, session replay, or advertising pixels. Information processed through third-party fonts and embedded media is described in Section 5.

3. How we use information

We use contact information, correspondence, and submitted project materials to respond to inquiries, assess potential work, prepare proposals, coordinate discussions, and maintain records of those interactions.

We use career and freelance submissions to evaluate suitability and availability for relevant opportunities and communicate with applicants or prospective collaborators.

We use technical and operational information to deliver the Website and its features, troubleshoot problems, maintain security, prevent spam and misuse, and improve reliability. We may also use relevant information to meet legal obligations, resolve disputes, and establish, exercise, or defend legal claims.

An inquiry confirmation or reply concerns your request. Submitting an inquiry is not consent to unrelated marketing. Where we seek consent for another purpose, we will explain that purpose separately.

4. When we disclose information

We disclose information only as needed for the purposes described in this Policy or as otherwise permitted or required by law.

Team members and service providers. Relevant employees, contractors, and providers may receive information needed to handle your inquiry or support our operations. Provider categories include website hosting and delivery, email delivery and storage, technical support, and security. Providers processing information on our behalf are subject to appropriate instructions and contractual protections.

The inquiry form uses Resend to deliver your message to our team and send you a confirmation. This involves processing the recipient details, message content, and delivery information needed for those emails. Messages may also be retained in the email systems used for the correspondence. Resend publishes information about its practices in its Privacy Policy and Data Processing Addendum.

Professional advice and legal requirements. We may disclose relevant information to professional advisers, insurers, courts, regulators, or authorities when reasonably necessary to obtain advice, comply with a legal obligation or lawful request, prevent fraud or harm, or protect legal rights.

Business transactions. Information may be disclosed or transferred in connection with a proposed or completed merger, acquisition, reorganization, or transfer of relevant business assets, subject to appropriate confidentiality protections and applicable law.

At your direction. We may disclose information when you ask us to do so or give valid consent for a specified disclosure.

Third-party services embedded in the Website may also receive information directly from your browser, as described below.

5. Google Fonts, YouTube, Vimeo, and browser storage

The Website may load fonts from Google Fonts and videos through embedded YouTube and Vimeo players. When your browser requests these resources, it connects to those services and transmits technical information associated with the request.

YouTube and Vimeo may receive information about your interaction with their players and use cookies or similar technologies. Their processing can depend on the player configuration, your account, browser, and privacy settings. Google may process information for its own purposes under its Privacy Policy.

YouTube project videos may load when you open project pages. The Vimeo reel player loads when you choose “Watch the reel” in the hero. Cookies are small files stored on your device. Similar technologies include local browser storage and other methods of storing or accessing information on a device. Your browser provides options to block or delete cookies and limit third-party resources, although doing so may affect video playback or other features.

Where applicable law requires consent for a technology, we obtain that consent before using it and provide a way to withdraw it. Accepting our Terms of Use or continuing to browse is not a substitute for consent where separate consent is required.

6. Sale, targeted advertising, and browser signals

We do not sell personal information or share it for cross-context behavioral advertising, as those terms are defined by applicable privacy laws. We do not use Website visitor information to target advertising based on activity across unrelated websites or services.

These practices apply regardless of whether a Global Privacy Control signal is enabled. The Website does not otherwise change its behavior in response to the older “Do Not Track” browser signal. Browser controls and any Website cookie choices remain available independently of those signals.

7. Legal bases where European or UK law applies

Where the GDPR or UK GDPR applies to our processing, we rely on the legal basis appropriate to the purpose.

For steps you request toward entering a contract, or performing a contract with you, we rely on contractual necessity. Where you communicate on behalf of an organization, we generally rely on our legitimate interest in managing that business relationship instead.

For ordinary business correspondence, reviewing professional inquiries, securing and maintaining the Website, and protecting legal rights, we rely on legitimate interests where those interests are not overridden by your rights. We rely on legal obligation when processing is necessary to comply with applicable law, and on consent where it is required, including for certain browser technologies.

You may withdraw consent or object to processing based on legitimate interests as described in Section 10.

8. Retention and security

We retain personal information for no longer than reasonably necessary for the relevant purpose, subject to legal requirements.

For inquiries and business correspondence, we consider whether the request remains active, whether there is an ongoing business relationship, and whether related records are needed for contractual, accounting, or legal purposes. For career submissions, we consider the relevant recruitment process and whether continued consideration for future opportunities is justified and appropriately disclosed. For technical records, we consider operational needs, security investigations, and the sensitivity of the information.

When information is no longer needed, we delete it or anonymize it. Residual copies may remain temporarily in restricted backups until the applicable backup-deletion cycle completes.

We use reasonable administrative, technical, and organizational safeguards appropriate to the information we handle. No system can guarantee absolute security. Nothing in this Policy limits our responsibilities under applicable data-protection or security laws.

9. International processing

Biohazard VFX operates from the United States. Information covered by this Policy may be processed in the United States and other jurisdictions used by our hosting, email, font, and media providers. Privacy laws may differ from those where you live.

Where applicable law restricts an international transfer, we rely on the transfer mechanisms and safeguards available under applicable law and our provider agreements. Contact hello@biohazardvfx.com to request further information or an available copy of relevant safeguards.

10. Your choices and privacy rights

Depending on your location and the laws that apply to our processing, you may have rights to obtain confirmation of processing and access to your information, receive a portable copy, correct inaccuracies, request deletion, or restrict certain uses. You may also have rights to opt out of a sale, targeted advertising, or certain consequential profiling, where applicable.

Objection and withdrawal of consent. Where the law provides a right to object to processing based on legitimate interests, you may exercise it by contacting us. You may withdraw consent at any time for processing based on consent. Withdrawal does not affect the lawfulness of processing completed before withdrawal. You may object to direct marketing at any time.

To make a request, email hello@biohazardvfx.com with the subject “Privacy request.” Describe your request and provide enough information for us to identify the relevant records. Please do not send identity documents unless we request them through an appropriate method.

We may verify your identity or an authorized agent’s authority when reasonably necessary and legally permitted. We will not impose verification requirements on opt-out requests where the law prohibits them. We will respond within the time required by applicable law and explain any permitted extension or refusal.

Where you have a right to appeal a refusal, reply to our response or email the same address with the subject “Privacy appeal.” We will review the appeal and provide a response and information about further complaint options as required by law.

You may also complain to the appropriate privacy regulator, including your local European data-protection authority or the UK Information Commissioner’s Office where relevant. We will not unlawfully discriminate against you for exercising your rights.

11. Children’s privacy

The Website is intended to present professional services and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the Website. If you believe a child has provided personal information, contact us so we can investigate and take appropriate steps, including deletion where required.

12. Changes to this Policy

We may update this Policy to reflect changes in our practices or legal obligations. We will post the revised Policy with an updated effective date. For material changes, we will provide additional notice and obtain consent where required by applicable law.

A revision to this Policy does not, by itself, authorize a new use of previously collected information where notice, consent, or another legal requirement applies.
